How to Vet an Overseas Supplier Before Paying a Kenya Import Deposit
Supplier risk is not limited to fraud. A genuine supplier can still provide the wrong specification, inconsistent quality, incomplete documents, unsafe packaging, an unrealistic lead time or a product that cannot be imported as planned.
Verify identity and capability
Request the registered business name, address, domain email, product catalogue, specification, production or trading role, references and export experience. Check whether the account receiving payment matches the contracting entity. Use independent contact details, not only the contact information sent in a message.
Test the product
Write the specification before requesting a sample. Record material, dimensions, model, colour, packaging, label, warranty, batch or serial requirement and acceptance criteria. Photograph and test the sample. If the order is material, agree how a pre-shipment inspection or independent quality check will work.
Test the paperwork
Ask for a pro forma invoice, packing details, country of origin, proposed HS code, export documentation plan and conformity information where relevant. Compare the supplier description with the Kenya Trade Portal and InfoTradeKenya procedure. A supplier's assurance that “Kenya accepts it” is not a substitute for official verification.
Control payment and dispute risk
Use a written purchase order or contract with product specification, quantity, price, Incoterm, shipment window, inspection, defect treatment, replacement or refund route, document responsibility and governing dispute process. Do not pay a mismatched personal account, rushed “clearance” request or undocumented balance.
